Privacy Notice
Last updated 18 October 2026
The Collar360 is Uganda's youth career guidance and opportunities platform, run by The Collar360 Careers Ltd, Kampala, Uganda. This notice explains what personal data we collect when you use our website, our mobile app, our USSD service or our voice line, why we collect it, who we share it with, and the rights you have under the Data Protection and Privacy Act, 2019.
01Who we are
The Collar360 Careers Ltd (registration number 80046916699818) decides how your personal data is used and is responsible for it. You can reach us about privacy at [email protected].
02What we collect
- Your account: your name, email address, phone number, the type of account you choose (for example youth, employer or institution) and your password, which we store only in a scrambled form that cannot be read back. If you sign in with Google, we receive your name, email address and an identifier from Google; we never see your Google password.
- Your profile: the details you choose to add, such as your district, education, skills, career interests, certificates you upload and links you share.
- Event registrations: when you register for an event such as the National Career Guidance Day, the details on the form (name, phone, school or institution, class or course, district, what you are paying for), your payment status and the mobile money transaction reference the organisers record, whether you checked in, and your attendance certificate. When a teacher registers a class, we hold each student's name, class and, if given, phone number.
- Messages: a record of the emails and SMS we send you (sign-in codes, confirmations, receipts, reminders), so we can confirm they were delivered.
- USSD and voice: if you use our USSD service or voice line, your phone number and the choices you make.
- Security and technical data: the device and internet (IP) address used to sign in, and a log of important actions on your account, which helps us protect it and investigate misuse.
The website uses a cookie only to keep you signed in. We count visits with Cloudflare Web Analytics, which does not use cookies or follow you across other websites. We do not show advertising.
03Why we use it
- To create and run your account and let you sign in safely.
- To build your career profile and, as the platform grows, match you with relevant careers, courses, opportunities and jobs.
- To register you for events, give you your ticket and QR code, record your payment and attendance, and issue your certificate.
- To send you the messages the service needs, such as codes, confirmations, receipts and reminders.
- To keep the platform secure, prevent fraud and meet our legal obligations.
- To understand, in summary form that does not identify you, how the platform is used, so we can improve it.
We use your data because you have agreed to it when signing up or registering, because we need it to provide the service you asked for, or because the law requires it.
04Who we share it with
- Event organisers see the registrations for their own events (names, contact details, school, payment and check-in status), so they can run the event, confirm payments and issue certificates.
- Service providers who process data for us under our instructions: Hetzner (our servers, in Germany), Cloudflare (secure connection and protection of the website), Resend (email delivery), Africa's Talking (SMS, USSD and voice) and Google (only if you choose to sign in with Google).
- Authorities, when the law requires us to.
We do not sell your personal data, and we do not share it with advertisers.
Our servers are in the European Union, which has strong data protection laws. Wherever your data is processed, we protect it as described in this notice.
05How we protect it
All connections to The Collar360 are encrypted. Passwords are stored in a form that cannot be read back, documents you upload are private and opened only through links that expire, access inside our team is limited to those who need it, and important actions are logged.
06How long we keep it
We keep your data for as long as your account is open. When you delete your account in the app or on the website, your personal data is deleted or anonymised straight away; when you ask us by email, within 30 days. We keep only what the law requires, paid or attended event registrations without your name or contact details (for the organisers' records), and the minimum needed to confirm that a certificate we issued is genuine.
07Young people
The Collar360 is for young people, including secondary school students. You must be at least 13 years old to create an account. If you are under 18, please use The Collar360 with the knowledge of your parent or guardian. Teachers who register their students for an event do so on behalf of their school.
08Your rights
Under the Data Protection and Privacy Act, 2019, you can:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data and close your account;
- object to, or withdraw your consent to, how we use your data.
You can delete your account yourself at any time, in the app (Profile) or on the website (Your account); see how to delete your account. For any other request, email [email protected] from the email address on your account, or tell us the phone number on it. We reply within 30 days. If you are not satisfied, you can complain to the Personal Data Protection Office (pdpo.go.ug).
09Changes to this notice
We will update this notice as The Collar360 grows. The date at the top shows the latest version; when a change matters to you, we will tell you by email or in the app. Please also read our Terms of Use.
